1. In reference to the Division Memorandum dated April 30, 2019 re: Implementation of Document Tracking System (DTS) v2.0, and with the goal of continuous improvement of the utilization of the system, and updated tracking of documents, this office shall implement one-day validity of document numbers through the Records Unit.

2. In connection to this, all DTS Focal persons, and Records Custodians/Liaison Officers are advised of the following:

a. The hard copy of documents encoded in the DTS must be submitted to the Records Unit within the same day. If in case the School Records Custodian or Liaison Officer is not available, an alternate shall be assigned by the School Head to access their Document Tracking System account;

b. Documents encoded in DTS but not submitted to the Records Unit on the same day shall be returned to sender with Remarks of “No Document Received” at the end of official business hours or on the following working day;

c. Same document numbers shall be used for documents that were returned to sender/ school for compliance upon its resubmission to the Records Unit; and

d. Documents must be submitted to Records Unit with one (1) printed copy only of Document Submission Report (for submission of one document only) or Masterlist of Outgoing Documents (for submission of two or more documents) generated from the system.
